Metalloinvest’s Multifunctional Shared Services Centre reports on its progress and development plans at ‘Looking to the Future’ event in Stary Oskol

Metalloinvest’s Multifunctional Shared Services Centre (MF SSC) has presented the results of its work since launching in January 2017 and shared its development plans with a wide range of industry professionals at the ‘Looking to the Future’ event, which took place from the 24-25 October in Stary Oskol.

The guests of the two-day event, hosted at the MF SSC, included representatives of leading Russian and international companies such as OMK, NLMK, Severstal, Mechel, ChelPipe, Rosneft, Gazprom Neft, Columbus, Sucden Russia, UCL Holding, RusHydro, Sodrugestvo, Pharmstandard, MegaFon, Rosvodokanal, 1C, NIISA, and Greenatom.

The MF SSC’s management spoke about their experience in building an integrated business server and the tools and technologies used. Existing end-to-end processes were demonstrated – from the purchase of goods to payment, from hiring an employee to their dismissal, from completion of a financial transaction to reporting on it.

The MF SSC also presented its robotic process automation (RPA) technologies, optical document recognition software, electronic archive and chat bots. Presentations on the use of innovative technologies were made by the leaders of the Centre’s partner companies – Deloitte, SAP and Kofax.

The event also included a teleconference with the management of two leading European shared services centres – Propel by Deloitte and SSC SAP Prague.

Elina Boychenko, Managing Director of Metalloinvest Corporate Service, said: “The transition to the integrated business service model, which Metalloinvest Corporate Service has successfully built, has allowed Metalloinvest to increase its efficiency, whilst reducing labour and administrative costs. The launch of the MF SSC is one of the key aspects of the Industry 4.0 comprehensive digital business transformation programme, implemented by Metalloinvest.

The MF SSC was launched in January 2017, and in just one year has consolidated the implementation of six everyday functions across Metalloinvest’s enterprises in line with uniform standards:

  • Accounting and tax accounting
  • Payment factory
  • HR management
  • Economic security
  • Contract work
  • Procurement administration

Following the launch of the MF SSC, encompassing the front offices at each of the four Metalloinvest enterprises and the middle office at OEMK, document flow was automated and a single information hub was created.

The automation system has shown high performance in terms of stability and speed with the simultaneous operation of one thousand users.

Front-office employees create more than 10 thousand documents and scan approximately 15 thousand pages per day. The front office also receives documents and works with customers, accepts and registers requests for services and communicates with customer representatives for services.

The middle office is responsible for ensuring that operating processes are completed. Every day, middle-office employees complete 6 thousand processes, the results of which are: transactions in accounting systems, the preparation of documents and references, and completed requests.

The successful automation of workflow has contributed to:

  • Reduced time spent on the creation and processing of documents;
  • Improving the efficiency of work at automated sites;
  • Reducing office expenses, labour, and related costs;
  • Increasing transparency of accounting documents;
  • Improving document security during storage;
  • Ease of access and search for documents in a single database.

The MF SSC has received several international awards, including the ‘Best Launch of a Shared Services Centre’ at the 2017 ‘Best Shared Services Centre in Russia and the CIS’ competition, organised by and Prosperity Media.

In 2018, the second phase of the project has been launched, which will connect the system of automatic entry and recognition of documents, integrating it with the SAP ERP accounting system.
