Metalloinvest transitions to electronic document management system for its suppliers and clients
27 December 2018
Metalloinvest (“the Company”), a leading global iron ore and HBI producer and supplier, and one of the regional producers of high-quality steel, has transitioned to using an electronic document management system to communicate with suppliers and clients.
The preparatory work to launch the electronic document management system is close to completion. As part of the transition process, all key customers of Metalloinvest, as well as product and services suppliers, have been offered to sign an agreement to use the electronic document management system. All technical and commercial enquiries require suppliers to complete an electronic exchange of the initial documents.
Andrey Varichev, CEO of Management Company Metalloinvest, said: “The digitalisation of all documents is essential to operate a modern business. The electronic document management system enables us to speed up the processing of orders and deliveries, improve information security, exclude mistakes when inputting data and reduce costs. The digitalisation of documents is part of Industry 4.0, a comprehensive programme aimed at digitalising Metalloinvest and enhancing the efficiency of the Company.”
In 2019, suppliers who use the electronic document management system to liaise with the Company’s enterprises will gain a competitive advantage in decision-making during the order placement process. Any failure to use the electronic document management system will be viewed by Metalloinvest as a failure to comply with the Company’s terms of cooperation.
All legal documents will be digitalised and signed with an electronic signature, including bills, invoices, universal transfer documents, and delivery reports. According to the counterparty agreements, other documents such as contracts and addendums to contracts, invoices and acceptance certificates can also now be transferred digitally.
The electronic document management system used by Metalloinvest has been built using the Diadoc system developed by SKB Kontur. In order to transition to this system, the counterparties have to sign an agreement of electronic document management with Metalloinvest, receive an electronic signature certificate at any certified centre accredited by the Ministry of Digital Development, Communications and Mass Media of the Russian Federation, and connect to the operating system for electronic document management.
The management process for internal documents at Metalloinvest has already been digitalised. The electronic document management system was piloted at Ural Steel in 2015; at Management Company Metalloinvest in 2016; at OEMK in 2017; and at Lebedinsky GOK and Mikhailovsky GOK in July 2018.
